HEREIN REFERRED TO AS ‘THE COMPANY’ AND/ OR ‘CAMP SILWANE’ & ‘CSCA’
CONSERVATION LEVY

STANDARD TERMS AND CONDITIONS CAMP SILWANE
1. At time of provisional reservations / bookings for accommodation, a 50% non-refundable deposit is required within 5 days of receiving a Prof Forma Invoice / Quotation from the date appearing on the Pro Forma Invoice / Quotation, to secure a provisional booking / reservation, as confirmation of the booking /reservation.

2. A provisional Booking will be automatically released, should the confirmation not be forthcoming.

3. The balance of 50% due must be paid within 30 days prior to taking up the reservation.

4. In the event of a provisional reservation / booking being made within a couple of days ( any number of days less than 30 days, prior to arrival), then full payment (100% payment) is required, within 72 hrs, as per the date shown on the Pro Forma Invoice / Quotation, as confirmation of the booking / reservation.

5. All incoming payments into the company’s bank account should be the gross amount in accordance with the Pro Forma Invoice / Quotation. All Bank charges are for the Payee’s (Senders) account.

6. All guests are required to present their receipts to the camp manager on arrival.

7. Guests who have made arrangements with reservations to pay for their quote / invoice with cash on arrival, will be issued a receipt by the camp manager, as per original Pro Forma Invoice / Quotation provided, and as shown to the camp manager on site. Please note there is no credit/ debit card facility at the camp.

8. Clients / Guests are required to take out their own fully comprehensive travel insurance which covers travel delays/cancellations and any unforeseen circumstances such as illness or for any emergency evacuation in the event of an accident.

9. Any client/guest not wishing to take travel insurance hereby consents to waiver any claim for a refund from The Company and hereby indemnifies The Company, its Directors, Agents or any member of Staff for any liability in any form in the event of an accident.

10. Prices as per Pro Forma Invoices / Quotation are only valid for 5 days from the date appearing on the Pro Forma / Quotation and once a 50% non- refundable Deposit is received as per clause 1,2,3 & 4 as stated herein.

11. Camp Silwane reserves the right to charge seasonal pricing specials at The Company’s own discretion in accordance to its marketing policies, publications and statements. Should any booking /reservation of which a 50% deposit and or full payment has been received by Camp Silwane, prior or during the period of this advertised seasonal special, then: Such seasonal special rate will not apply.

12. Rates include all Taxes and Levies, however, the Company reserves the right to change rates and levies and pricing as advertised, without notice, whether to any agent, tour operator, or third party or customer/guest / client dealing with the Company, or to change pricing, rates and levies, without notice as advertised through various marketing and advertising platforms and statements and adverts and / or Pro Forma Invoices / Quotations. The Company reserves the right to change pricing without notice, to comply with any Government Of Zimbabwe and / or Ministry Of Tourism and or Tourism Regulatory Body, in regard to any published Statutory notices that may have an effect on The Company.

13. By receiving a Pro Forma / Quotation, and or any e-mail correspondence through any of The Company’s staff or agent, any client / guest hereby automatically consents that he / she / they have read and understood all the Terms & Conditions and Cancellation Policies stated herein.

14. All clients /Guests, hereby further agree to abide by Camp Silwane’s, allocation of Rooms, Units, Camp Sites etc , as stated in the Pro Forma Invoice / Quotation as received by the client / guest. Rooms as indicated on the Clients / Guest Proforma / Quote and or e-mail, may not necessarily be the rooms allocated upon arrival. The company reserves the right to re-allocate rooms upon client / guest check in.

15. All clients /guests hereby are forbidden to take it upon themselves to participate in any personal game drive activity using their own mode of transport on the CSCA, (Camps Silwane Conservation Area), whether by day or by night. All clients / guests are required to stay at their designated camp site / accommodation at night. A USD 500.00 (Five Hundred United States Dollars) fine will be applied to anyone caught driving on their own at night on the CSCA.

16. All client / guests will be required to complete a Registration Form and Indemnity upon arrival. All clients / guests who undertake The Company’s Self Cater – Self Drive option for accommodation, agrees to take all their rubbish out with them in line with Camp Silwane’s Eco Tourism and no trash policy.

17. CAMP SILWANE – RESERVATION CANCELLATION POLICY
Should a booking / reservation be cancelled or needing amendment, The Company reserves the right, to apply the following fees:

– Prior to the date of arrival being more than 60 days, a 25% cancellation / amendment fee of the rate as per Pro Forma / Quotation will be charged, on the remaining balance due, after the 50% nonrefundable deposit.

– 59-30days prior to the date of arrival, a 50% cancellation / amendment fee of the rate as per Pro Forma / Quotation will be charged, on the remaining balance due, after the 50% non-refundable deposit.

– 29-0 Days prior to the date of arrival, a 100% cancellation / amendment fee of the rate as per Pro Forma / Quotation fee will be charged, on the remaining balance due, after the 50% non-refundable deposit.

The above cancellation percentages are based on the total value of the individual reservation booked. During the peak periods April, June, July, August, September, October and December, the company reserves the right to charge full payment on any bookings cancelled or amended, 29 days prior to arrival date. Should an agent / client cancel a booking, the company requires formal written notice via e-mail to
advise of the cancellation, whereupon the same cancellation / amendment fees as stated herein will apply.

18. INCLUSIONS & EXCLUSIONS POLICY AND CAMP SILWANE CONSERVATION AREA LEVY (CSCA)

CSCA LEVY.

Camp Silwane Conservation Area (CSCA) is a newly established conservation area bordering the Hwange National Park, near the Kennedy siding. The conservation levy you will be paying directly supports the transition of hunting to conservation by working with the local communities and landholders for the protection of the fauna and flora in this area. As such we will be charging a Conservation Levy for each booking as follows:

Camp Silwane – Main Camp – All Inclusive – USD 25 Conservation Fee Per Person (aged 13+), Per Length Of Stay.

– Camp Silwane – Main Camp – Accommodation & Meals Only – USD 25 Conservation Fee Per Person (aged 13+), Per Length Of Stay.

– Self Drive / Self Catered Tented Camp – USD 10 Conservation Fee Per Person (aged 13+), Per length Of Stay

– Somadada Catered Camp – USD 25 Conservation Fee Per Person (aged 13+), Per Length Of Stay.

– Somadada Self Drive / Self Catered – USD 25 Conservation Fee Per Person (aged 13+), Per Length Of Stay

– Hammerkop Camp Site – USD 5 Conservation Fee Per Person (aged 13+), Per Length Of Stay.

– Acacia Grove Camp Site – USD 5 Conservation Fee Per Person (aged 13+), Per Length Of Stay.

Conservation Levy Fees are subject to change without notice.

INCLUSIONS AND EXCLUSIONS POLICY

– MAIN CAMP – ALL INCLUSIVE RATE INCLUDES: All Meals, Local Drinks only, Wifi, 1 Morning and 1 Afternoon Game Drive, VAT & ZTA Levy.

EXCLUDES: Transfers, One off USD 25 Camp Silwane Conservation Area (CSCA) Levy, (per person aged 13+), Laundry, National Park Entrance Fees.

– SOMADADA PLATFORM ALL INCLUSIVE RATE

INCLUDES: All Meals and Local Drinks only at Main Camp Dining Platform, Collection from and to Somadada Platform, Wifi, 1 Morning and 1 Afternoon Game Drive, VAT & ZTA Levy.

EXCLUDES: Transfers, One off USD 25 Camp Silwane Conservation Area (CSCA) Levy, (per person aged 13+), Laundry, National Park Entrance Fees.

– MAIN CAMP – MEALS & ACCOMODATION ONLY RATE

INCLUDES: All Meals, Wifi, VAT & ZTA Levy.

EXCLUDES: Transfers, Game Drives, All Drinks and Beverages, One off USD 25 Camp Silwane Conservation Area (CSCA) Levy, (per person aged 13+), Laundry, National Park Entrance Fees.

– TENTED SAFARI CAMP – SELF DRIVE / SELF CATERED RATE WITH COMMUNAL KITCHEN INCLUDES: Wifi (From 2025), VAT & ZTA Levy.

EXCLUDES: Transfers, Game Drives, All Meals, All drinks and beverages, One off USD 10 Camp Silwane Conservation Area (CSCA) Levy, (per person aged 13+), Laundry, National Park Entrance Fees, Access to Main Lodge facilities and splash pool.

– SOMADADA PLATFORM SELF DRIVE / SELF CATER CAMPING RATE INCLUDES: Access to Wifi (from 2025) at Main Camp Lodge facility, 1 Bundle Of Firewood per day (From 2025), VAT & ZTA Levy.

EXCLUDES: Transfers, Game Drives, All Meals, All drinks and beverages, One off USD 25 Camp Silwane Conservation Area (CSCA) Levy, (per person aged 13+), National Park Entrance Fees, Laundry, Access to Main Lodge facilities and splash pool. Please note: Guests are required to bring all their own camping equipment, tents and Gear.

– ACACIA GROVE AND HAMERKOP CAMPING SITES – SELF DRIVE / SELF CATER RATES INCLUDES: Access to Wifi (from 2025) at Main Camp Lodge facility, 1 Bundle Of Firewood per day (from 2025), VAT & ZTA Levy.

EXCLUDES: Transfers, Game Drives, All Meals, All drinks and beverages, One off USD 5 Camp Silwane

Conservation Area (CSCA) Levy, (per person aged 13+), Laundry, National Park Entrance Fees, Access to Main Lodge facilities and splash pool. Please note: Guests are required to bring all their own camping equipment, tents and Gear.
